TERMS & CONDITIONS

1. ELIgibility Criteria

• This event is open to all individuals aged 15 and above.

• Participants under the age of 18 must have parental or guardian consent.

• The event is open to individuals of all genders, sexual orientations and identities, including those from the LGBTQ+ community.

2. Registration and Fees

• A registration fee shall be charged for participation. All participants must complete the registration form and pay the specified entry fee before the event date. Registration is mandatory and must be completed before the deadline.

• The registration fee is non-transferable and non-refundable, except in case of event cancellation by the organisers.

• Incomplete or erroneous registrations will result in disqualification, and no query for a refund will be entertained.

3. Code of Conduct

• Respectful behaviour towards all participants, organisers and staff is mandatory.

• Discrimination, harassment, or inappropriate conduct towards any participant will not be tolerated.

• The organisers reserve the right to remove any participant violating the code of conduct without a refund.

4. Participant Verification

• Participants must bring their ID proof along with them to the event.

5. Health and Safety

• Participants are responsible for their health and fitness to participate in dance activities.

• The organisers will ensure basic first aid availability but are not liable for any injuries sustained during the event.

6. Event Rules

• Participants must follow the instructions of the dance instructors and event staff.

• The use of alcohol, drugs, or any illegal substances is strictly prohibited at the venue.

7. Liability Disclaimer

• The organisers are not liable for any lost, stolen, or damaged personal belongings.

8. Media Consent

• Participants consent to being photographed or recorded during the event for promotional purposes.

9. Event Modification or Cancellation

• The organisers reserve the right to modify the event schedule, venue, or any other aspect of the event as needed.

• In case of cancellation by the organisers, participants will receive a full refund.

10. Prize Distribution

• Participants shall be titled based on their dance performance and outfits. They shall also be rewarded with a hamper.

• Prizes are non-transferable.

• Participation certificates will be provided to all participants.

11. Disqualification Criteria

• Participants will be disqualified for inappropriate behaviour, cheating, or violation of rules.

• Decisions made by the organisers will be final and non-debatable.

• Any misconduct, offensive or hate speech, or any form of discrimination is strictly prohibited and may result in disqualification.

• The decision of disqualification of the participant will be taken by the management, and after the finalisation of the decision, the management will not be liable to answer any question about the same.

12. Intellectual Property

• Participants grant The Himalayan Foundation Chandigarh the right to use submitted content for promotional purposes.

• All intellectual property remains with the organizers.

13. Privacy Policy

• Personal information collected during registration will be used solely for event management and communication.

• Data will not be shared with third parties without consent.

14. Legal Compliance

• This Salsa and Bachata event complies with all applicable laws and regulations.

• Participants are responsible for compliance with local laws.

• By participating, you agree to abide by these terms and conditions.

• The Himalayan Foundation Chandigarh reserves the right to update these terms if necessary.

RULES AND REGULATIONS

1. Punctuality

• Couples must arrive 15 minutes early for registration and warm-up.

• Entry after 10 minutes of the session start time may not be permitted.

2. Dress Code

• For Girls: Comfortable dresses or jumpsuits that allow freedom of movement.

• Footwear for Girls: Heels

• For Boys: Neat casual or semi-formal attire (e.g., shirts with trousers).

3. Registration

• Pre-registration is compulsory. Walk-ins will not be allowed.

• LGBTQ+ couples are warmly welcomed– any combination of gender identities is accepted.

• Each individual must carry a valid ID proof and their registration confirmation.

4. Slot Allotment

• Slots will be allocated based on preference and availability.

• Slots allotment will be on first come, first serve basis. 

• Couples cannot change their partners on the spot under any circumstances.

• If a participant registers as a stag (solo), the organizing team will pair them with another stag based on availability.

5. Conduct

• Respectful behaviour is expected at all times.

• Any kind of harassment, discrimination, or misconduct will result in immediate disqualification.

• Participants are expected to maintain a supportive and inclusive environment for all genders and orientations.

6. Partnering

• For skill-building purposes, instructors may include short interaction exercises. However, permanent partner switching is not allowed.

7. Health

• Inform the organizers of any medical conditions in advance.

• If you feel unwell during any session, stop dancing immediately and notify a coordinator.

8. Hygiene

• Due to the close- contact nature of Salsa, the use of deodorant and fresh attire is strongly encouraged.

• Bring your own water bottles and towels.

9. Photography & Media

• The event will be photographed and/or recorded.

• By registering, participants consent to the use of photos/videos for event promotion.

10. Miscellaneous 

• Refund Policy: Registration fees are non-refundable unless the event is officially canceled by the organizers.

• Certificates: Participants who attend at least one session will be awarded a Certificate of Completion.

• Feedback: We value your thoughts, so the feedback forms will be shared after Day 2.

11. Special Titles & Recognition

• Two special titles will be awarded at the end of the workshop:

a. Best Dance Couple– based on performance, coordination, and energy.

b. Best Dressed Couple– based on overall appearance, styling, and presentation across both days.

• The Organising Committee (OC) holds the final authority in evaluating and deciding the winners.

• All decisions made by the Organising Committee (OC) will be final and binding.
